Job Description

Role & Responsibilities, Reception & Front Office Duties: Daily responsibility for meeting and greeting employees/visitors of the company.

  • Daily management/issuance of visitor access cards.
  • Printing new employee access cards as required.
  • Activation/deactivation of employee access cards.
  • Proactively screen incoming calls daily and respond independently when required, ensuring proper dissemination of the information.
  • Review incoming documents (such as fax, email) and make recommendations for action and distribution.
  • Daily recording of incoming and outgoing couriers/shipments/post mails.
  • Sending/receiving/distributing couriers/shipments/post mails.
  • Providing support in courier AWB creation.
  • Weekly inventory and safekeeping of office stationery & pantry supplies.
  • Daily checking/monitoring supplies for photocopy machines and printers.
  • Monitoring logbook for lost and found property.
  • Providing support in booking meeting rooms.
  • Weekly Concur Expense Archiving.
  • Supporting projects when required.
  • Reporting at least one hazard/near miss per month in the CBRE system.

Admin Duties

  • Weekly/Monthly HSE inspections.
  • Monitoring/recording stock levels of stationery and consumables used by employees, and placing orders with suppliers.
  • Attend the monthly CBRE regional QHSE network call.
  • Completion of assigned monthly e-learning courses.
  • Handling other facilities-related ad-hoc tasks as assigned, and in the absence of FMC.
  • Performing other administrative duties as assigned.

Qualifications And Experience

  • Business conversational knowledge of English, Swahili and French languages.
  • Front-of-house/receptionist experience.
  • Dedicated, keen to learn, and develop.
  • Excellent organizational and communication skills.
  • Strong time management skills.
  • Proficiency in Microsoft packages including Outlook, webmail, Word, Excel (intermediate user level).
  • Confident in communicating and working with local client stakeholders.
  • Flexibility – the ability to manage shifting daily priorities with a positive attitude.
  • Ability to multi-task while ensuring a consistent and elevated visitor experience.
