Job Description
RSK is looking for a proactive Office and Project Administrator who thrives in a fast-paced office environment and is willing to take on diverse responsibilities to ensure operational efficiency. The successful candidate will oversee day-to-day office operations, ensuring the smooth functioning of administrative, logistical, and project support tasks. This role requires very good organisational and communication skills, multitasking ability, and a proactive approach to support both office and project needs which encompasses a wide range of tasks.
Key Responsibilities Will Include
- Financial and Procurement Tasks
- Process weekly MPESA requests in collaboration with Project Managers, supplier payments, and expense postings in Xero for office and project needs.
- Support project field budgeting, including consolidated Mpesa requisition forms.
- Raise purchase orders for office supplies, subscriptions, and project needs.
- Prepare and maintain accurate records for RSK Tanzania invoicing and daily financial activities, such as Z report printing.
- Administrative Support
- Collaborate with the Office Manager on vehicles, project, and administrative matters.
- Perform general secretarial duties, including drafting correspondence, managing schedules, minutes taking, and supporting management.
- Handle new and existing supplier registrations, assessment, and updates to the supplier’s master list.
- Plan and coordinate office events, workshops, and project-related gatherings.
- Update and maintain timesheets for drivers and office assistants.
- Support travel logistics, with business invitation letters, visas applications etc.
- Reception and Communication Duties
- Serve as the first point of contact for visitors.
- Maintain clear and professional communication with staff, guests, suppliers and other stakeholders.
- Manage the RSK TZ info mailbox and respond to enquiries promptly.
- Communicate with the Country Manager regarding relevant adverts from newspaper publications for RSK works.
- Office and Fleet Coordination
- Coordinate daily vehicle bookings, driver trips, vehicle movements, and leave schedules in collaboration with the Office Manager.
- Oversee office supply management stock taking.
- Miscellaneous Duties
- Support carbon reporting for Tanzania
- Attend client and business development meetings when required.
- Update the Duty Director on Safe Arrivals.
- Perform any additional duties as assigned by management
Desired Qualifications
- Degree in Business Administration, Business Management, Public Administration or related fields.
- Proven experience in office and projects administration, coordination or a related field.
- Strong organisational and multitasking abilities.
- Attention to detail and the ability to maintain high levels of accuracy and deadlines.
- Ability to work independently and collaboratively in a dynamic environment all levels of the business, inside and outside of the immediate team both locally and internationally.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access etc.).
- Familiarity with basic Accounting and Accounting software(s) are added advantages.
- Excellent written and verbal communication skills.
